Step-by-Step Guide for Employers


Make an appointment for someone from Barringtons to come and talk to you about the Child Care Voucher Scheme, the processes involved and the associated costs of establishing it for the benefit of your employees.

Sign a Service Agreement.

Display the Barringtons Child Care Voucher Scheme poster in a prominent place in order to make the Scheme accessible to all your employees.

Advise interested employees to check if their child care provider accepts vouchers and to check out their personal tax position with HM Revenue and Customs, as well as any potential effect on Working Tax Credit, so that they can make an informed choice about using vouchers as a salary sacrifice arrangement.

Advise employees who wish to proceed to decide how much salary they wish to exchange for vouchers (up to a maximum of £243 per month) and agree a deadline for this information in line with your own payroll processes.

Provide a salary sacrifice form to these employees (either your own or one provided by Barringtons). By signing the form, an employee agrees to vary their terms and conditions of employment, taking advantage of the tax savings associated with the use of vouchers.

(Retain the original of this form and forward a copy to Barringtons.)

Provide these employees with the Application to Join the Scheme form which needs to be completed and forwarded to Barringtons. Barringtons will then make contact with the child care provider to ensure the necessary arrangements are in place for payment of redeemed vouchers.

You will need to note the value of the vouchers required by each employee as this information will be required when submitting your monthly order.

Each month, in time for your payroll, send the Voucher Order Form to Barringtons detailing the value of the vouchers required by each individual and enclose a cheque for payment.

Barringtons will provide you with vouchers for your employees in time for your payroll deadline which you can distribute with their payslips. Before using vouchers, employees are advised to check their payslips to ensure that the correct deduction has been made for the voucher.

Employees give their voucher to their child care provider as payment (vouchers must be used within the current tax year, but do not have to be used in the same month of issue).

Child care providers redeem their vouchers by sending them to Barringtons.


Note:

  • Employees are only able to change the amount of child care vouchers they receive, leave or rejoin the scheme if their 'lifestyle changes'. For further details, see Lifestyle Changes.

  • In order to change the amount of child care vouchers received, a new salary sacrifice agreement will need to be completed.
